Our commitment to fair and impartial client and venue relationships

Policy Statement

Match My Venue operates as a venue sourcing agency and advisory partner, working in the best interests of clients while maintaining fair, professional, and transparent relationships with venues and suppliers. Our role is to recommend the most suitable venues based on event requirements, operational capability, and guest experience — not personal relationships, incentives, or commercial pressure.


Client Priority & Fair Representation

Clients are our primary priority. We work to secure the best possible outcome, value, and protection for each client, including reviewing venue contracts, highlighting risks, and challenging unfair terms where necessary.


That said, we do not blindly side with clients in disputes. Where issues arise, we aim to act fairly, proportionately, and professionally, supporting reasonable outcomes for both clients and venues while maintaining long-term trust and credibility.


Impartial Venue Recommendations

We do not guarantee leads, bookings, or business to venues.
Venues are shortlisted based on:

  • Suitability to the client brief

  • Proven ability to deliver

  • Operational capability

  • Availability and logistics

  • Budget alignment

  • Guest experience potential


We do not recommend venues based on personal relationships, incentives, or favouritism. Where we are unfamiliar with a venue, we stress-test suitability through site visits, operational review, and industry feedback, including input from our network of event professionals.


Venue Autonomy & Client Freedom

Venues are not obligated to accept clients introduced by Match My Venue and may carry out their own due diligence, including credit checks where appropriate.


Likewise, clients are never financially obligated to Match My Venue and may walk away from recommendations at any time. We simply ask that, while engaged, clients do not work with other venue agents or run parallel venue searches, and that all venue communication during the search is routed through us. Clients may terminate our involvement at any stage before engaging another provider.


Exclusivity & Commercial Fairness

We do not enter into exclusive venue agreements that compromise client choice or recommendation integrity. Any preferential commercial terms negotiated with venues are passed directly to clients, and we do not retain hidden incentives.


Gifts, Incentives & Hospitality

We operate a strict no-incentives policy:

  • We accept only our agreed 10% commission

  • We do not accept bonuses, kickbacks, or preferential payments

  • We do not attend personal FAM trips or hospitality for leisure

  • Any hosted venue visits are undertaken only for genuine research or due diligence


Supplier Relationships

We only share supplier information where required to fulfil contracted event services, and we limit shared data to what is essential for delivery. We do not promote suppliers based on commission incentives over client suitability.
