THE MATCH MY VENUE GUIDE
Expert guidance on choosing the right event venue — based on real experience, honest advice, and what actually works in practice.
MOST PEOPLE CHOOSE VENUES FOR THE WRONG REASONS
WHAT REALLY MAKES A VENUE WORK

REALISTIC CAPACITY
Marketing capacity rarely reflects real layouts, production needs, furniture or guest comfort.
GUEST FLOW
Good events need breathing room — poor flow creates crowding, stress and discomfort.
LOGISTICS & ACCESS
Supplier access, loading routes and back-of-house logistics directly impact event delivery.
UPFRONT PLANNING
The best events are built early — planning prevents problems before doors open.
VENUE TEAM EXPERIENCE
A strong venue team matters more than aesthetics — delivery always beats appearance.
AV, PRODUCTION & RIGGING
Sound, lighting, staging and rigging must physically suit the space and format.
CATERING PERFORMANCE
Service speed, staffing and execution matter more than menus, branding or presentation.
The most common mistake is choosing a venue based on appearance, first impressions, or sales promises. What really matters is how a venue performs when it’s full — with guests moving, bars busy, catering serving, AV running, and timings shifting. A space that looks perfect in photos can quickly feel overcrowded, inefficient, or operationally stressful once the event begins.

PHOTOS HIDE OPERATIONAL PROBLEMS
Many venues quote optimistic maximum capacities that don’t reflect real event setups. Once you add staging, screens, bars, catering, registration, branding, or production equipment, usable space reduces quickly. Realistic capacity depends on layout, furniture, AV, catering flow, guest movement, and overall comfort — not inflated marketing numbers or best-case assumptions.

CAPACITY NUMBERS ARE OFTEN INFLATED
Venue photography is designed to sell a space, not show its limitations. Photos rarely reveal bottlenecks, back-of-house constraints, noise issues, rigging restrictions, supplier access challenges, or how the venue feels when full. Choosing a venue based on images alone is one of the fastest ways to make a poor decision.

A VENUE CAN LOOK GREAT AND STILL FAIL IN REALITY
MOST PLATFORMS SELL VENUES.
WE STOP YOU BOOKING THE WRONG ONE.
BEFORE COMMITTING TO A VENUE, MAKE SURE YOU UNDERSTAND
Whether the space genuinely supports your guest numbers and intended layout
How guests will move through the venue during arrivals, peak moments and departures
Whether catering and bar service can realistically handle demand
How experienced the venue team is with events similar to yours
What flexibility exists if numbers, timings or plans change
Whether there are hidden costs, restrictions or supplier limitations
If a venue can’t answer these clearly and confidently, treat it as a risk — not a reassurance.
CHOOSING THE RIGHT VENUE FOR DIFFERENT EVENT TYPES

CORPORATE EVENTS & CONFERENCES
Strong AV, breakout flexibility, smooth guest flow and reliable operational delivery are essential.

AWARDS DINNERS & RECEPTIONS
Ceiling height, production capability, service flow and realistic seated capacity matter most.

NETWORKING EVENTS
& RECEPTIONS
Guest circulation, bar speed, arrival flow and crowd comfort are more important than capacity.
HOW MATCH MY VENUE WORKS
Match My Venue is both a venue listing platform and a venue sourcing partner. We earn commission from venues, but our priority is always finding the right fit for the client, not pushing the highest-paying option.
We operate on a fixed commission per venue and do not accept enhanced commissions or paid placement, so our recommendations are based on suitability — not incentives.
Our approach prioritises:
Event requirements and suitability first
Real-world venue performance over marketing claims
Guest experience and delivery confidence
Long-term reputation over short-term gain
We only recommend venues we trust — because our credibility depends on it.
HOW WE HELP CLIENTS MAKE BETTER DECISIONS
We help clients make confident venue decisions based on real event experience — not guesswork, pressure, or surface-level comparisons. Our role is to reduce risk, save time, and improve outcomes.
We focus on practical guidance that supports smarter choices, not sales tactics or generic listings.
We support clients by:
Shortlisting venues that genuinely match their brief
Advising on realistic capacities, layouts and logistics
Flagging operational risks before they become problems
Comparing venues beyond price, photos and sales pitches
Our goal is simple — help you avoid the wrong venue and choose the right one.
